A commercial services business needs to strengthen financial control. It already has extensive financial and management information, but key managers need to use it more, and it can probably be refined so that key performance indicators are more easily calculated and presented. The finances were restructured nearly 2 years ago and there may be opportunities for new grants and energy efficiency loans. A thorough review is worthwhile now, before we decide what to do.

Cashflow is king for a construction contractor. Can wages be paid at the end of ther month? It is a little late to be hoping for key payments from customers. We develop a weekly cash flow forecast so that we can manage the immediate situation better and decide which debtors to press hardest, and which creditors to contact so that he can pay them later. We also develop a sales projection from which it is clear that higher sales in the next few months will be profitable, but place further pressure on cash flow. There also needs to be graeter effort on winning new business for 2010.

The International Organization for Standardization's ISO 9001:2008 series describes standards for a QMS addressing the principles and processes surrounding the design, development and delivery of a general product or service
system. A major customer is coming to audit them before placing a substantial order. We defer the audit so that we can develop a simple quality management system which will be sufficient to meet their customer requirement. Later we will consider whether it will be worthwhile gaining an ISO accreditation for a more comprehensive and robust system such as the generic ISO 9001ISO 9001 accreditation certifies that formalized business processes are being applied, or the aerospace specific AS 900. Longer term it may also be worth gaining the top EASA qualifications which allow their products to be installed on aircraft. -

Without financial plans, a business cannot progress. We have been unable to prepare the financial and business plans for a client for several months so that we can progress a grant application. We are waiting for last year's accounts and meanwhile the business expansion is on hold. With another client, there are cash flow problems, but no management accounts so that they can plan and prioritise which debts to chase, and which creditors to seek assistance from. Whatever the scale and problems business has, maintaining up to date management accounts and cash flow forecasts within the business is always essential.

Starting work with a contractor in the construction industry. Now that we know more, the priority is to define a consistent approach to all the work this client could consider. If he loses confidence, we can plan for retrenchment with assistance scaling back the team, helping to obtain grants for training and part time working, and making sure employment processes are followed. However, business is picking up again and he will be wise to invest in the health and safety processes which his customers want, and in building better offices. There should be grant assistance available for both.

He has been hit be a second 'whammy' as his bank has reduced his temporary overdraft facility and wants to reduce it further, just as business picks up and he needs more finance. We plan a grant application for Business Support from Carmarthenshire County Council which will hopefully defer his rent and rates and provide a short term loan. We have also worked with PRIME Cymru ever since we started to give business advice. Now, the RSA project is keen to support the increasing trend of older entrepreneurs. 1 in 5 of those over 50 years old are self employed, and 1 in 6 of 45 - 60 year olds plan to start up a business instead of retiring. We need to contact them to keep them on-side whilst we develop a solution, but this planning is taking place too late and this is almost a case of business survivalwe help businesses to identify what their problems are and then to take steps to cut costs and increase revenues now. This client could have avoided the problem by forecasting cash flow and taking remedial action earlier. Now we will look at refinancing the business and a Business Support loan from Carmarthenshire County Council, as well as putting in place a weekly cash flow forecast, better debtor and creditor controls, and using all this information to make better decisions more quickly.

Although other clients tell me that sales are down this year, this pub’s project has succeeded with sales up 15%. Now the owners are taking advantage of the dip in the hospitality sector to take on a new pub and restaurant. They have spotted an opportunity in a town which lacks a quality pub and restaurant and they will manage their risk and capital by taking on a lease with an option to buy later. They key to success will be making a big impact on customers quickly, and then managing sales and costs tightly.

It chose to make several people redundant earlier this year, rather than using the Welsh Assembly Government’s ProAct scheme to retain and retrain key people. Now that it can re-employ some of them, it also has the confidence to invest in improved premises which will make its management and administration more efficient. Hopefully, we can help them to secure a Single Investment Fund grant for premises improvement and fitting out, as well as some IT, web and telephone equipment. With house prices collapsing, he no longer has equity in his house, just at the time that he needs to borrow more to finance stock and marketing for the launch of his new product. Although all banks participate in the government’s Enterprise Finance Guarantee scheme, not all of them understand or promote it well. Barclays has lent over half the money lent under the scheme, so far so we make sure that we call on them. Hopefully, we can raise the money needed with the government guaranteeing 80% of the loan

19 May - We discuss support for a farmer looking to install a wind turbine on his farm to reduce electricity consumption. As a dairy farmer this could give substantial savings. He needs to go through the planning process and we suggest that a feasibility study is done first so that any obstacles can be identified, so that he can size and cost the equipment, and find out whether there really will be cost savings. Our work can be 50% funded by FarmingFarming businesses Connect as part of his Whole Farm Plan. We will be working with another client who is one of the very few businesses in Wales with experience of installing wind turbines so that we get the technical design and cost correct.

18 May - I worked on the financial planto forecast cash flow, profitability and funding requirements for a Single Investment Fund (SIF) application for a specialist electrical contractor. The plan needs to be finely balanced, based solidly and consistent with the historic accounts and realistic in the projections. There is a risk that the plan, and the evidence which we will be submitting in support of it, will determine the ‘need for grant’ and the ‘value for money’ which the government will get in return for a grant. This will determine how much grant the applicant will receive. This is why it is so important that all financial plans are thought through thoroughly before they are used to support grant applicationsassistance to present their businesses to banks and grant awarding bodies with our excellent understanding of banks and grant awarding bodies and their procedures.

13 May - Yesterday’s event reminded me that the new Local Investment Fund (LIF) grant is fully operational now, providing grant fundingassistance to present their businesses to banks and grant awarding bodies with our excellent understanding of banks and grant awarding bodies and their procedures of up to £5,000 for many small capital projects which are too small to qualify for the Welsh Assembly Government’s Single Investment Fund (SIF). We will also continue to refer small businessesSmaller businesses in Pembrokeshire to the Pembrokeshire Lottery which provides an interest free loan of up to £25,000

30 April - We reviewed progress with the Welsh Assembly on delivering its Workforce Development Programme. This has started really well with over 50 businesses in Carmarthenshire and Pembrokeshire making good progress on developing their training plans. Our support is free and most of them will be ready soon to receive up to £1,000 to subside the cost of the training recommended by our work. Once they have good training plans and development processes in place, some of them will work with us to gain Investors In People (IIP) accreditations. This is particularly important for businesses which need well qualified staff

However, their management information is not up to date and looking at the latest figures it is clear that this season has started well below last year’s figures. We inject a note of caution into the plan, and start work on a grant application. 22 April - Another meeting with The Welsh Assembly Government. This time it is the launch of the FoodFood businesses Business Development Advice programme. Again, West Wales Consulting has been selected to provide business advice to food, drink, fish and forestry businesses. The advice we can give will be wide ranging and our specialist team will allow us to give some really technical advice on food and drink processing. We will also be helping clients to access the new food Processing and Marketing Grants (PMG), Supply Chain Efficiency (SCE) grants, and European Fisheries Fund (EFF) grants. The good news is that our work for eligible clients in these sectors will be 100% grant funded

We help farms to diversify and now is the time to think about doing so, when lamb prices are high and there are surplus funds available. We agree a streamlined application process so that we can help farms access grants quickly to cover the cost of our support. Most of our work will be 50% grant funded, and 80% for young farmers.

Now he can’t afford a major sales and marketing campaign. We agree that the product should be targeted on high value, low volume customers which will allow him to use distributors to penetrate an international market place. This will minimise his additional investment and I think I can use an agent in the Netherlands to help him close his first major distribution deal. It turns out that the agent is also interested in distributing the products of another client, so I called him to let him know.

We went through the mechanics of the import processes and alcohol sales legislation before focusing on the key issues: what wines, for which customers, and how is he going to sell to them. The Welsh Assembly Government and local Council are keen to back the business, but they want my re-assurance that the potential customers can generate the planned volume of business, and the business can gear up to serving them. I am planning a contact programme to visit the main existing and target customers to bottom out a more robust financial planto forecast cash flow, profitability and funding requirements with strong evidence to support it. I suspect that a stronger sales and marketing planwe can help with all aspects of planning marketing and training will be needed before long.
